In support of the SickKids 2025 Strategy, and its vision of Unprecedented Outcomes Powered by Precision Health, we are seeking a Project Coordinator, with experience working with senior leaders who will provide direct administrative support to (1) the Associate Chief of Clinical Research and co-lead of Precision Child Health, and (2) the Executive Director of Precision Child Health (PCH) and Clinical Research Services Transformation. This individual will be a key resource and provide support in research, academic activities, and senior leadership function within the organization. The Project Coordinator is privy to confidential information and maintains a high degree of professionalism and diligence.

Here¿s What You¿ll Get To Do:

Provide admin support to the Associate Chief, Clinical Research, Co-Lead PCH & Executive Director of PCH & Clinical Research
Calendar management - schedule/confirm appointments using judgment to reschedule or book appointments according to changing priorities
Assist in event coordination
Prepare and organize committee meetings related to Clinical Research and or PCH
Arrange meeting rooms, meals, audiovisual and equipment services for meetings, workshops, seminars, events including external research meetings and events
Coordinate air travel, accommodations, ground transportation, conference registration fees, travel itineraries and reconciling financial entries
Support Human Resource (HR) human resource functions activities as it relates to, onboarding, time keeping, contract renewals and terminations for both research staff and students
Assist with graduate student and postdoctoral fellowship applications and award processing adhering to agency and university policies, procedures and deadlines
Process invoice payments, credit card expenses, travel reimbursements and liaise with appropriate personnel to follow-up on financial matters
Responds to routine email and telephone inquiries, including coordination and preparation of any required mail-outs
Record & transcribe minutes and prepares correspondence including letters, reports, spreadsheets and presentations
Other tasks as assigned
Specific to the Associate Chief, Clinical Research, Co-lead PCH

Prepare and update physician¿s different CV, CCV, biosketches
Assist in the physician¿s annual review, reappointment process, CDCP triennial reviews, RI reviews, academic promotions and divisional annual and ministry reporting and annual CME credits
Provide administrative support in Grant applications submission including grant specific CV¿s, support letters, and liaise between collaborators and stakeholders
Specific to Exec Director of PCH & Clinical Research

· Document/Information Management Support team with file storage and management in key collaborative platforms like Microsoft Teams and SharePoint

· Expense and Financial Management as it relates to tracking budgets, processing invoice payments, credit card expenses, travel reimbursements and liaise with appropriate personnel to follow-up on financial matters

· Conduct basic research searches on various topics via web, research databases, and other sources

· Other tasks as needed

Here¿s What You¿ll Need:

· A post-secondary degree or diploma in business, administration or related field from a recognized University or College

· Minimum 3-5 years of senior administrative experience either in a hospital or university setting

· Strong interpersonal, communication and organizational skills

· Experience working with Microsoft Office applications (outlook, Microsoft Word, Excel and PowerPoint)

· Demonstrated high level of judgement, tact and diplomacy in interacting with a wide variety of staff members

· Ability to handle a fast-paced, busy work environment with many interruptions and competing priorities

· Ability to trouble-shoot and learn new computer and/or web-based programs.

· Experience managing team finances and budgets

· Familiarity with project management methodologies is an asset
