As the Executive Assistant, you deliver exceptional support to the Chief Executive Office and the Chief Growth Officer of the organization. As co-owners of the company, these two roles require support across a wide variety of professional areas and rely on the Executive Assistant role to keep them organized, accountable, and on schedule. You are someone who can work with flexibility and accuracy, be adaptable to change, and are comfortable with unpredictability while demonstrating a willingness to meet high expectations. You will be responsible for efficiently completing daily tasks, as well as identifying and implementing procedures that maximize effectiveness and make life easier for the people around you. You recognize and embrace that in your role you are an extension of the brand of the CEO and CGO, and take pride in your energy, confidence, drive, and attention to detail. 

What You’ll Do

Maintain the daily calendars for the CEO and CGO by planning and scheduling meetings, conference calls, and appointments
Arrange travel and meetings, including developing agendas, booking transportation, and coordinating lodging and meeting facilities
Prepare briefs, notes, or presentations to Executives to prepare them for their meetings
Attend meetings in order to keep minutes, take notes for the CEO/CGO, and record action items that will require follow up from Executives
Provide accountability and reminders to ensure follow ups are completed on any post-meeting action items
Manage all methods of communication (i.e.. phone calls, emails, correspondence, inquiries, etc…) in a professional and confidential manner, prioritizing and dealing with items where requested
Assist in expense report preparation and ensure all invoices and receipts are tracked and submitted according to Accounting team process
Coordinate events and corporate functions as requested

Who You Are

Are adaptable and quick to identify issues or needs, and can accommodate last minute requests and situations
Are capable of proactively anticipating needs and reacting quickly; developing an analytical approach and thorough understanding of the business needs and the personalities and work styles of the team members you support
Have exceptional time management and pride yourself on exemplary organizational skills including but not limited to management of email, digital files, and process improvement
Are highly knowledgeable and efficient in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook
Can demonstrate a track record of working in a way that supports each of our Core Values
Are a self-starter and demonstrate a history of holding yourself accountable
Can be available outside of typical business hours to support business tasks as required
Have a minimum of 10 years experience in an executive assistant role reporting to a senior executive
Have a valid driver’s license with a clean driving record
